Replies in India have a reputation. They come back as 'try karenge', as a headcount of 'we will see', or not at all. Most of that can be fixed with the right questions, a firm date and a phone call at the right moment. This guide covers all three, and where the replies should go so that you are not counting them on WhatsApp the night before.
What RSVP means on an Indian card
RSVP stands for the French répondez s'il vous plaît, 'please reply'. On many Indian cards, though, the word is followed by two or three names and phone numbers: usually the father, an uncle or a brother. That is not a request to fill a form. It tells guests whom to call with their reply or their questions, and for many elders a call is still the most natural way to answer.
An invitation website can do both at once. Keep the names and numbers for the people who would rather call, and add a reply form for everyone else.
The four questions to ask
On one onboarding call this season, a family settled on exactly four questions. They are the right four for most weddings:
- Will you be attending?Yes or no. Leave out 'maybe': every maybe has to be chased later anyway.
- How many of you?A number. Ask for names only if you need them for passes or rooms.
- Which functions?A tick box for each function, listing only the functions that guest is invited to. The sangeet and the wedding rarely have the same headcount.
- Do you need a stay? For guests coming from other cities, with their arrival date if you can ask for it.
Extras earn their place only if someone will use the answer. A meal preference matters when you are serving Jain, vegetarian and non-vegetarian food, and song requests for the sangeet are fun because the DJ will play them. Every other question is one more reason to close the form.
Answer options that elders do not find rude
The way the choices are worded matters more than families expect. One groom asked us to make the answers positive only, 'Yes, I will be there' and 'Definitely, I will be there', and to drop a line that said 'saving a seat for you'. Another family went through their fun questions, team bride or team groom and a bet on the joota chupai, wondering whether they were too young for senior guests.
If your guest list runs from college friends to grandparents, word the form for the grandparents, or give the two groups different versions.
| For friends | For elders and formal guests | |
|---|---|---|
| The question | Are you coming? | Kindly let us know if you will be able to join us |
| Yes | Would not miss it | Yes, I will be there |
| No | Sadly, I cannot make it | I will not be able to come, my blessings are with you |
| Headcount | How many of you? | Number of family members attending |
| Extras | A song request, team bride or team groom | None |
When to skip the form altogether
Not every guest should get a form. One bride kept her RSVP form for her friends, while her father wanted a version with no form at all for his own friends, who would simply call him. We made him a second link without it.
For grandparents and senior relatives, the phone call is the reply. Someone in the family should enter it in the same list as everyone else's, so the count stays in one place. A second link like the father's costs from ₹999 at Invifest; ask us when you order. The same idea, one link per group of guests, is how families handle guests invited to only some functions.
The deadline and the reminders
Set the reply-by date three weeks before the first function, not two. Caterers usually want final numbers seven to ten days before, and you need the week in between to chase, because roughly a third of a list needs chasing. That is the timing our invitation timeline uses, step by step:
- With the invitationPut the reply-by date on the invitation itself and in the message you send with it.
- A week before the deadlineOne gentle reminder to the people who have not replied, in the wording below or from our reminder messages, sent the way our WhatsApp sending guide describes.
- After the deadlineCall. A call gets the answer a form does not, especially from elders and from the parents' friends.
- A week before the first functionFinal numbers for each function to the caterer, and the stay list with arrival dates to the hotel.
Where the replies should go
Not into your email inbox, one message per guest. A bride on one of our calls expected exactly that, and was relieved to find a dashboard instead.
Every Invifest invitation with a reply form comes with a private RSVP console, free with the invitation. Guests' replies go there instead of into anyone's inbox. You log in to see them, search them, and export them to Excel whenever you need a fresh count. You can try the guest's side of it in a live demo. If you want more, Aangan adds the guest list itself.
| RSVP console | Aangan guest dashboard | |
|---|---|---|
| Price | Free with every invitation that has a reply form | ₹3,000 with an invitation |
| Every reply in one place | Yes | Yes |
| Export to Excel | Yes | Yes |
| A personal link for each guest | No | Yes, sent from your own WhatsApp |
| Who has opened it and who has not replied | No | Yes, with the count for each function |
| How long it lasts | As long as your invitation is online | Until 30 days after your last function, then deleted |
Turning replies into numbers for the caterer and the hotel
Count per function, not per wedding. The sangeet, the wedding lunch and the reception dinner are three different numbers, and caterers price them separately. For each function, add up:
- The confirmed: every yes, with its headcount.
- The called: the elders and others who replied by phone, entered in the same list.
- The silent: people who never replied. Do not count them as zero. Your parents usually know which of them always come.
- A margin: many families add about ten percent for guests who arrive without having replied.
Keep the stay list separate: names, how many people, arrival and departure dates, and who is picking them up from the station or the airport. Guests travelling from abroad need this settled earliest, as our guides to NRI guests and destination weddings explain.

Questions people ask
What does RSVP mean on a wedding card?
It is French, répondez s'il vous plaît, and means 'please reply'. On many Indian cards the RSVP line lists family members' names and phone numbers: it tells guests whom to call with their reply or their questions.
How many days before the wedding should the RSVP deadline be?
Three weeks before the first function, not two. Caterers usually want final numbers seven to ten days out, and you need the week in between to chase the people who have not replied, which is often about a third of the list.
What questions should a wedding RSVP ask?
Four: will you come, how many of you, which functions (only those the guest is invited to), and do you need a stay. Add a meal preference or an arrival date only if someone will use the answer.
Do Indian guests actually fill RSVP forms?
Younger guests and guests abroad mostly do. Many elders reply by phone instead. Plan to call everyone who has not answered by the deadline, and enter phone replies in the same list as the forms.
Where can I see all the RSVP replies?
With an Invifest invitation, in your private RSVP console, free with every invitation that has a reply form, with an Excel export. Aangan (₹3,000 with an invitation) adds personal links for every guest and shows who has opened the invitation.
Can we have an invitation without an RSVP form?
Yes. Many families send a version without the form to elders or to the father's friends, who reply by calling. A second link like that costs from ₹999 at Invifest.
How do I politely remind guests to reply?
Once, about a week before the deadline, in a warm line that says why you are asking: the arrangements are being finalised. After the deadline, call the rest.
