The rule behind all of them: every reminder should give the guest something they can use, a deadline, a timing, a location pin, a number to call. A message that only says 'don't forget!' is the one people mute.
When to send each reminder
| When | What to send | To whom |
|---|---|---|
| A few days before your RSVP deadline | A gentle request to reply, with the link | Only the guests who have not replied |
| Two weeks before | A call to anyone still silent | The people whose numbers you still need |
| One week before | The link again, with the timings and the parking | Everyone invited |
| One or two days before | Only the next day's timings and the venue pin | Everyone invited to those functions |
| On the day | The venue pin and a number to call | Guests on their way, or the family group |
| Whenever something changes | One clear line about the change, with the link | Everyone invited to that function |
That is three messages for most guests, plus a call to the few who never reply. The timings follow our invitation timeline, which sets the RSVP deadline three weeks before the wedding. Every extra message makes the next one easier to ignore.
The RSVP reminder
This is the one families put off, because it feels like asking people to commit. Write it as a request for help with the arrangements rather than a deadline. The reminder Invifest wrote for sending on a couple's behalf says the couple 'are finalising the arrangements and would love to know whether you can join them'. It works because it gives a reason and asks one simple question.
- Send it only to those who have not replied. Everyone else has done their part. Where an Invifest design has a reply form, the replies reach a private RSVP console, free with the invitation, so you can see who has answered. Aangan, the guest dashboard, also shows who has opened the invitation, and sends each guest a personal link from your own WhatsApp.
- Make 'no' easy. 'Even a no helps us plan' brings in more replies than any amount of politeness, because people delay when they are unsure.
- Ask for a number. 'How many of you will come?' gets you a count for the caterer. 'Are you coming?' gets you 'haan haan, zaroor'.
- Call the elders instead. Nobody expects a seventy-year-old to fill in a form. Call, ask, and fill in the reply for them.
What to ask in the reply form, and how to turn the answers into numbers for the caterer and the hotel, is in RSVP for an Indian wedding.
A week before
The week-before reminder is the warm one. It tells people the celebrations are close, and it brings the invitation back to the top of their chat, which matters because the original message now sits under weeks of forwards and good-morning flowers.
- The day the celebrations start, and the first function.
- The link, so nobody has to scroll back for it.
- One practical detail: where to park, which gate to use, or the dress code for the first function.
- For guests from out of town: whether a car will meet them at the station or the airport, and whom to call.
The day before
Short, and only about tomorrow. Not the whole schedule: what is happening tomorrow, at what time, and where. Guests read this one at night and act on it in the morning, often while getting ready, so it has to make sense in five seconds.
On the day
On the day, people want two things: where to go, and whom to call when they cannot find it. Post the venue pin and one phone number in the family group in the morning. Give that number to someone who is not in the ceremony, a cousin, a friend, the person managing the cars, because the bride's father will not be answering his phone during the pheras.
When something changes
A change of time or venue is the one message you cannot skip. Update the invitation first, then send the message. With a link, the change reaches everyone at once: a link you have already sent updates by itself, and nobody needs a new one. With a printed card or a PDF, the old version stays in people's phones and on their fridges, so your message has to do all the work.
- Say what changed in the first line. 'The Sangeet now starts at 7 pm, not 6 pm.' Not 'small update!'
- Say what has not changed, so nobody worries about the rest: 'Everything else stays the same.'
- Send it once, to the people invited to that function. Then call the elders.
Reminders in Hindi
Hindi reminders follow the same pattern: Devanagari for elders, Roman Hindi for everyone else, and a call for the people who matter most. Six are in the samples below, and there are more Hindi messages in wedding invitation messages in Hindi.
How many reminders are too many?
Three for most guests, plus a change notice if something moves. Beyond that, people stop opening them. Send in small batches, to people who have your number saved: a number that sends the same message to hundreds of people at once, especially people who have not saved it, can be restricted by WhatsApp, and the week of the wedding is the worst time to lose it. There is more on sending safely in how to send wedding invitations on WhatsApp.
Reminder messages you can copy
In the order you will need them: the RSVP reminder, the week before, the day before, the day itself, changes, and reminders in Hindi. Change the words in brackets.

Questions people ask
How do I politely remind guests about the wedding?
A week before, send a short 'gentle reminder' with the day the celebrations start, one practical detail such as parking, and the link. Give people something they can use; a reminder that only says 'don't forget' reads as nagging.
When should I send a wedding reminder?
A few days before your RSVP deadline, to those who have not replied; a week before the wedding, to everyone; and a day or two before each function, with only the next day's timings. Our invitation timeline sets the RSVP deadline three weeks before the wedding.
How do I tell guests the venue has changed?
Update the invitation first, then send one message that says what changed in the first line, says what has not, and points to the link. Avoid sending a second card: two versions of the invitation in people's phones is how guests end up at the old venue.
Should I send reminders to elders?
Call them instead. A call from the family a few days before does what no message can, and it is when you find out whether they need a car or a room.
Can I send reminders to everyone at once?
Yes, with care. Send in small batches, to people who have your number saved, and only to those invited to that function. With Aangan, Invifest's guest dashboard, you can see who has not replied and remind only them, each with their own personal link.
How do I remind guests to RSVP without sounding pushy?
Give a reason and make no an acceptable answer: 'We are finalising the arrangements this week, and even a no helps us plan.' Send it only to those who have not replied, and call anyone who still has not answered a week later.
